KICC has not stated that it has appointed a formal Data Protection Officer. Privacy questions and requests should be sent to the email address above with the subject “Privacy request”.
Scope of this policy
This policy covers the public website at traleemasjidkicc.ie and the public Learning & Reflection service. It does not cover KICC’s private staff administration system or a future iPhone, iPad or Android application. Those services need their own review and disclosures before use.
Links may take you to another organisation’s website or application. Once you leave KICC’s website, that organisation decides how it uses information collected directly from you. Its privacy notice applies to that part of your visit.
What we use and why
We use only the information reasonably needed to operate the public service, answer requests, process donations, safeguard the community and publish authorised learning material. Depending on what you do, this can include:
- Technical and security information, such as an IP address, request time, browser or device details, requested route, security result and diagnostic reference. We use this to deliver, protect and troubleshoot the service. Our legal basis is KICC’s legitimate interest in running a reliable and secure website.
- Your chosen settings, including privacy consent, colour theme, motion preference, dismissed notices, cached public information and optional audio progress. Necessary settings support the service you request; optional functional storage relies on your consent.
- General enquiry details, including your name, email address and message. We use them to respond to your request, based on legitimate interests or steps you ask us to take.
- Donation and payment records, including amount, currency, payment status, a transaction or diagnostic reference and any support correspondence. We use them to carry out your requested donation, reconcile KICC’s accounts, prevent fraud and meet legal record-keeping duties. Our legal bases are KICC’s legitimate interests in administering and protecting voluntary donations, compliance with accounting and other legal obligations, and your consent before the optional SumUp interface is loaded.
- Recordings and publication material, which may contain a teacher’s voice, name, lesson, transcript evidence and editorial permissions. KICC relies on the identifiable speaker’s consent to record and publish this material. Where it reveals the speaker’s religious beliefs, KICC requires explicit consent for that special-category information. Its legitimate interests in accurate editorial administration apply only where they do not override the person’s rights, and do not replace required consent.
KICC does not sell personal data, build advertising profiles, use visitor submissions to train artificial-intelligence models, or make solely automated decisions that have legal or similarly significant effects on visitors.
Contact and community enquiries
General contact form
KICC’s general contact form sends your name, email address and message through Formspree to the KICC inbox. Use it only for ordinary enquiries. Please do not include confidential pastoral information, health information, safeguarding reports, children’s information or other sensitive details. Telephone KICC first to arrange a safer way to communicate when a matter is private or urgent.
A closed general enquiry is normally retained for Formspree submission history: 30 days (confirmed); KICC enquiry inbox: under review. Sensitive information sent accidentally is handled under this rule: Formspree submission history: no more than 30 days (confirmed); KICC inbox handling: under review.
Kerry Muslim Database
The community-database link opens a Microsoft-hosted form and may ask for community-registration information. It is shown behind a warning because KICC has not yet completed a full audit of the form’s fields, ownership, permissions, retention and handling of children’s data. Do not provide a child’s information or sensitive personal data unless that form first gives a specific privacy notice explaining why it is required, how it will be protected and how to withdraw.
Opening the external form is not consent for KICC to create a community record. Any valid consent must be specific and presented at the form itself.
Donations and payments
SumUp’s secure card interface is loaded only after you choose to donate and allow Payments. Card details are entered into SumUp’s interface and are processed by SumUp; KICC’s website sends the donation amount, currency, return route and a diagnostic identifier, then receives the checkout reference and status needed to confirm the result. Do not email card details to KICC.
KICC retains the accounting evidence needed for legal and financial stewardship for At least 6 years; longer retention and the maximum period are under review. Short-lived payment-support diagnostics are retained for 90 days unless a live dispute, chargeback, fraud investigation or legal duty requires longer.
GoFundMe, PayPal or another donation service may be offered as an external link. Information entered there is collected under that service’s own privacy notice. The KICC Terms of Use explain donation corrections and refund requests.
Recordings and Learning & Reflection
Mixlr supplies public schedules, recording catalogues and audio. The recording-media connection begins when you choose Play. MyMasjid supplies live status so the site can show when KICC is on air, but its audio stream is not connected until you choose Listen or Play. KICC may save optional playback position, speed, volume and series progress in your browser when Functional storage is allowed.
Learning & Reflection turns selected recordings into KICC-reviewed lesson adaptations. Private editorial material can include the source recording, machine-produced transcript, structured draft, scripture candidates, people classifications and review evidence. Artificial intelligence assists transcription and drafting; an authorised human editor must review and approve the public adaptation. The recording remains the primary source for the teacher’s exact words.
Public articles do not expose private transcripts, unresolved source candidates, prompt details, reviewer identity or private people classifications. Optional quiz answers and hints are intended to run as private self-study interactions and are not used to profile a reader or decide whether an article may be published.
KICC retains a published recording or article, together with the internal publication records necessary to substantiate, correct and administer it, for as long as it remains published. Temporary, duplicate and superseded working material is retained only while it remains necessary for its editorial purpose. After withdrawal, KICC reviews the remaining material within 12 months and keeps only what is still needed for permissions, disputes, safeguarding, corrections or legal obligations.
Quran and hadith verification
Quran Foundation authentication and source retrieval run only on KICC servers through the confidential client-credentials flow with the content scope. Reviewed extracts are then included in public KICC lesson pages. The integration does not send visitor information, create Quran Foundation accounts, access a visitor login, OAuth token, bookmarks or notes, or require redirect or post-logout URIs. The Sunnah.com verifier likewise uses a server-held credential rather than a visitor account.
“KICC Tralee Masjid — Learning & Reflection” is independent from Quran Foundation, Quran.com and QuranReflect. KICC uses M.A.S. Abdel Haleem English translation resource 85 and full-ayah transliteration resource 57 for reviewed extracts. The removed Clear Quran resource 131 remains excluded unless separately reauthorised in writing.
KICC does not use Quran Foundation content for advertising, resale, bulk redistribution, or to train an artificial-intelligence or machine-learning model. Quran text is not altered, and extracts preserve their reference, context and source attribution.
Before any third party is allowed to handle QF content for KICC, its written contract must require compliance with Quran Foundation’s Islamic-content guidelines and expressly prohibit misuse of the Qur’an or Quranic text.
Reviewed and synchronised. Selected, reviewed verse extracts may be retained while required for a published lesson. KICC recommends an administrator-run Quran Foundation content-delta check every six months. This reminder is advisory. When a selected resource changes, the affected lesson is withdrawn, the extract is refreshed, and an administrator must review it again before republication. Public devices revalidate withdrawn or refreshed material rather than keeping a permanent local copy.
Children and families
Prayer times, public recordings and learning pages may be read or listened to by people of any age. KICC does not knowingly offer a child a public account on this website.
A parent or guardian must handle donations, general forms, Madrasa enquiries and community-registration steps for a child. Children should not send personal or sensitive information through the general contact form. KICC will prioritise the child’s welfare and applicable safeguarding or legal duties if information indicates that someone may be at risk.
How long we keep information
KICC keeps personal information only for as long as its purpose, documented community responsibility or law requires. It is then deleted, anonymised or reviewed for secure archival value.
Formspree’s current Free plan stores 30 days of submission history. Retention and deletion of copies delivered to KICC’s enquiry inbox are under review. Until that review is complete, please do not send confidential, health, pastoral, safeguarding, children’s or other sensitive information through the general contact form.

A legal hold, open complaint, safeguarding need or active dispute may require a relevant record to be kept longer. KICC will document that exception and review it when the reason ends. Irish Revenue explains the six-year financial record requirement in its record-keeping guidance.
Security and incidents
KICC uses proportionate organisational and technical controls, including restricted administration access, server-held secrets, least-privilege permissions, transport encryption, input validation, provider security controls, audit evidence and limited retention. No online service can promise absolute security.
Quran Foundation credentials are restricted to server-side use with the exact content scope. The client secret will be rotated at least every 90 days; both credentials will be replaced immediately if compromised or if the provider replaces the pair. KICC’s incident process requires prompt containment, documentation and assessment. A relevant QF API incident must be reported to Quran Foundation within 24 hours under Security Rule 6.9. KICC will also notify Ireland’s Data Protection Commission and affected people when GDPR requires it.
Please report a suspected website privacy or security problem to info@traleemasjidkicc.ie without including passwords, full card details or unnecessary personal information.
Your data-protection rights
Subject to the GDPR’s conditions and exceptions, you may ask KICC to:
- give you access to your personal data and a copy of it;
- correct information that is inaccurate or incomplete;
- erase information that no longer has a lawful reason to be kept;
- restrict how information is used while an issue is checked;
- provide eligible information in a portable electronic format;
- stop processing based on consent, or object to processing based on legitimate interests; and
- receive information about safeguards for a restricted international transfer.
Email info@traleemasjidkicc.ie. Describe the information or service concerned and the right you wish to exercise. KICC may request proportionate evidence of identity so information is not disclosed to the wrong person. KICC normally responds within one month; if the GDPR permits an extension, KICC will explain why and when to expect a response.
You may also complain to Ireland’s Data Protection Commission. Its official guidance explains how to raise a concern. We would appreciate the opportunity to address the issue first, but you do not have to contact KICC before approaching the Commission.
Changes and contact
KICC will update this page when the public service, providers, retention periods or legal requirements materially change. A new version will show a fixed effective and last-updated date. Where a change affects consent, KICC will ask for a fresh choice rather than silently treating an old choice as agreement.
